Job Purpose: The Office Assistant is responsible for overseeing the day-to-day office activities of the Laurier Students’ Public Interest Research Group (LSPIRG). This includes holding office hours, maintaining a weekly schedule for staff and volunteers, managing check-out systems for LSPIRG resource libraries, assisting with campus and community outreach activities, and assisting LSPIRG staff with various tasks as needed. The Assistant is responsible for adherence to organizational policies and strategic plans as set out by the Board of Directors.

Reports to: Board of Directors

Location, Period of Employment, & Compensation: The office assistant will work out of the Waterloo office at 165 Albert St. (3F), Waterloo, ON for 15 hours of work per week between Monday and Friday with one (1) three (3) hour shift per day. This is a part-time contract position with a start date of January 12th, 2015 with completion on April 30th, 2015. Contract is subject to renewal on a term basis after this. Starting hourly wage is $15/h.

General Duties & Responsibilities:
Office Management
Hold regular three (3) consecutive office hours per day from Monday through Friday

Communicate regularly with staff and volunteers to ensure schedules are communicated; update this regularly on the office calendar to ensure efficient scheduling

Manage LSPIRG’s general e-mail account; respond to e-mails and forward e-mails to appropriate staff and volunteers accordingly

Knowledge of Microsoft Office, Google Calendar, Google Drive, and HiTask task management system considered an asset

Resource Management
Manage check-out systems for both the LSPIRG Library and the LSPIRG Tech cabinet, ensuring that appropriate paperwork is always filled out

Ensure LSPIRG office supplies are always well-stocked; order supplies when needed with adherence to the LSPIRG operational budget

Assist LSPIRG staff and volunteers in acquiring supplies for events and workshops

Assist LSPIRG staff and volunteers with outreach activities including booth preparation and facilitation

Assist LSPIRG staff and volunteers with coordination and delivery of class talks

Work collaboratively with other staff members, volunteers, and Directors of the Board in a non-hierarchical environment to achieve organizational goals

Other Duties
Report to the Board of Directors as required

Assist LSPIRG staff and volunteers with various tasks and projects as they arise

A passion for organizational values as stated above

Excellent time management and organization skills

Familiarity with student service organizations within a post-secondary context

Willing to work five (5) three (3) hour shifts between Monday-Friday with some flexibility and the occasional evening and weekend shifts when needed
